ABSENCE POLICIES

At Colorado Swim School, we prioritize the safety and progress of our swimmers. Regular attendance is crucial for the development of swimming skills and water safety awareness. To maintain a structured and effective learning environment, we require that absences be reported at least 24 hours in advance. 

  • Excused Absences
    An excused absence is an absence from a scheduled swim lesson for reasons such as illness, family emergencies, or unforeseen circumstances that prevent attendance.

    • Absences reported at least 24 hours in advance are considered ‘Excused Absences’ 

    • Only excused absences are eligible for a Make-Up Tokens.

    • Once the missed class has passed, a make-up token will automatically generate on the student’s account and can be used for up to 90 days after the absence.

    • Students receive a maximum of twelve make-up tokens per calendar year. We understand that circumstances may arise that require students to miss a lesson, and we encourage open communication to facilitate rescheduling or alternative arrangements.

    Reporting Absences

    Parents or guardians of the student are responsible for reporting excused absences at least 24 hours in advance of the scheduled lesson.

    • Absences can be reported through our designated communication channels, which include phone, stopping by our Customer Experience Desk, or online through our Customer Portal.

    • Students receive a maximum of twelve make-up tokens per calendar year.

    • When reporting an excused absence, please provide the following information:

      • Student's name

      • Date and time of the scheduled lesson

      • Reason for the absence

      • Contact information for follow-up, if necessary

    Unexcused Absences

    Failure to report an absence at least 24 hours in advance, without a valid reason, may result in the absence being considered unexcused.

    • Unexcused absences are not eligible for a make-up, credit, or refund.

    • Repeated unexcused absences may lead to rescheduling difficulties and could affect a student's enrollment in our swim program.

  • At CSS, we highly value our instructors and prioritize the efficient and equitable use of their time. As part of our commitment to professionalism and respect for everyone's schedules, we have established a stringent 'NO SHOW' policy.

    • A 'no show' incident refers to a student who misses their scheduled swim lesson without prior communication or notice.

    • Students who ‘no show’ are not eligible for a make-up, credit, or refund. 

    • After 3 consecutive no-shows, a student may be dropped from their enrollment. No credits or refunds will be processed in such instances.

    • In rare cases where caregivers feel they need an exception, we're here to listen and consider all appeals.

  • At Colorado Swim School, we value our instructors and honor their time. As a result, in the case of late arrivals without prior notice, our instructors are not obligated to teach the remainder of the lesson. The lesson will be marked as a no-show and will not be eligible for a make-up, credit, or refund.

    An arrival is considered late at 8 minutes for a 15-minute lesson and 15 minutes for a 30-minute lesson.

  • We understand that unforeseen circumstances may arise occasionally, such as a child getting sick, and as a result parents/guardians may need to request a same-day absence from their scheduled swim lesson. We respectfully ask that you limit these call outs as much as possible. Last minute call outs disrupt our instructor’s schedules and limit other swimmer’s ability to use that timeslot for a make-up class. For a same day call-out, please follow the procedure below:

    Notification of Absence:

    • Parents/guardians are required to notify the swim school of their same-day absence as soon as the need arises.

    • Notification should be made by phone. In the event of an unavailability to reach the office, please leave a voicemail message.

    • Parents should provide the following information:

      • Parent or guardian’s name

      • Student's name 

      • Their lesson time

      • The reason for the absence.


    Acceptable Reasons for Same-Day Absence:

    Same-day absences are typically accepted under the following circumstances:

    • Illness

    • Family Emergency

    • Severe Weather: When weather conditions make it unsafe or impractical to attend a swim lesson.

    • Other exceptional circumstances.

    Number of Allowable Same-Day Absences

    • We have not put a limit on these, but ask that you please limit the same day call-outs.

    • Excessive same-day absences may require documentation or approval from the swim school management.

    Same-Day Call-Out Make-Up Policy

    • In most situations, same-day absences will be considered excused, and customers will be eligible for a makeup lesson.

    • Makeup lessons will be scheduled based on availability, and customers may need to choose from available time slots.

    • Makeup lessons must be scheduled within 90 days of the original absence. Failure to schedule a makeup lesson within this timeframe may result in forfeiture.

    • No refunds or credits will be processed for missed classes.

    No-Shows

    • Failure to notify the swim school of a same-day absence will be considered a "no-show."

    • No-shows are not eligible for makeup lessons, and the lesson fee will not be refunded or credited.

    Abuse of Same-Day Absence Policy:

    Colorado Swim School reserves the right to investigate and take appropriate action against any customer found to be abusing the same-day absence policy. This may include restricting the customer's ability to schedule makeup lessons or, in extreme cases, termination of enrollment.

    Review and Amendments:

    This policy may be subject to periodic review and amendments as deemed necessary by Colorado Swim School. Customers will be informed of any changes in the policy.

    We aim to provide a supportive and flexible environment for our customers while maintaining the integrity of our scheduling and lesson structure. This same-day absence policy is designed to strike a balance between accommodating unexpected circumstances and ensuring fairness to all our valued customers. We appreciate your understanding and cooperation in adhering to this policy.

  • Students who provide adequate notice of their absence and have a valid reason may be eligible for a makeup lesson. 

    • If an excused absence is reported at least 24 hours in advance, we will make every effort to reschedule the missed lesson at a mutually convenient time, subject to instructor availability and class capacity.

    • Make-up lessons will be scheduled based on availability and may not always be at the same time as the missed lesson.

    • Make-up lessons are a courtesy and not every request will be approved.

    • Please note that instructor availability for make-up lessons is subject to scheduling constraints and may not always align with the student's regular instructor.

    • Make-up lessons must be scheduled within within 90 days of the missed lesson.

    • Make-up lessons may be scheduled 72-hours in advance of the requested class.

    • Missed make-up lessons are not eligible for a make-up token. 

FACILITY CLOSURES & CANCELATIONS

  • This Inclement Weather-Related Cancellation Policy outlines the procedures and guidelines to be followed by Colorado Swim School in the event of inclement weather conditions, particularly snowy weather, to ensure the safety of our students, staff, and the smooth operation of our swim school.

    Decision-Making Process

    • We will monitor weather conditions, including snowfall, freezing temperatures, and road conditions, through reliable weather forecasting sources.

    • The decision to cancel or delay classes will be based on the safety of students, parents, and staff.

    • The decision to cancel or delay classes due to snowy weather will typically be made at least two hours before the scheduled classes. The final decision will be made by the CSS management team, considering the local weather conditions and safety concerns.

    Notification Process

    • CSS will notify all affected students and parents of class cancellations or delays as soon as the decision is made.

    • Notification methods will include email, text message, and updates on the swim school's website and social media platforms.

    Make-Up Classes

    • In the event of class cancellations due to snowy weather, we will make every effort to schedule make-up classes for affected students.

    • Make-up classes will be scheduled at a time and date convenient for both the students and instructors.

    • Refunds and Credits WILL NOT be granted for classes due to inclement weather.

    • NO Refunds and Credits will be offered for classes due to inclement weather.

    Staff Safety

    The safety and well-being of our staff is paramount. In the event of severe snowy weather, staff members are not required to travel to the swim school if they believe it is unsafe to do so.

    Parent and Student Responsibility:

    • Parents and guardians are encouraged to use their discretion and prioritize safety when deciding to bring their children to classes during snowy weather conditions.

    • Parents and guardians should contact CSS to report any absences due to inclement weather prior to the scheduled lesson.

    By following this Snowy Weather-Related Cancellation Policy, Colorado Swim School aims to prioritize safety while maintaining a fair and transparent approach to class cancellations and make-up sessions during snowy weather conditions.

  • We are committed to providing a clean and safe environment for our students to learn and enjoy their swimming lessons. Unfortunately, fecal and vomit accidents in the pool can pose health risks and create unsanitary conditions and may require in temporary closures. Our facility will follow guidelines recommended by the local health department for pool contamination cleanup. In the event of a fecal incident, the closure may be extended through the next business day.

    Notification Process

    • Parents or guardians of swimmers affected by the pool closure will be promptly notified of the incident, however, since the incidents occur in real time, we may not be able to notify advanced notice of the closure. We will reach out through text, email, and phone calls to communicate the closure.

    Make-Up Classes

    • In the event of class cancellations due to a fecal or vomit incident, we will make every effort to schedule make-up classes for affected students.

    • Make-up classes will be scheduled at a time and date convenient for both the students and instructors.

    • Refunds and Credits WILL NOT be granted for classes due to fecal or vomit incidents.

    • NO Refunds and Credits will be offered for classes due to fecal or vomit incidents.

GENERAL POLICIES

  • At Colorado Swim School, the safety and well-being of all participants is our top priority during swim lessons. To ensure a safe and hygienic environment, we have implemented a Double Diaper Policy for all participants under the age of 3 or those who are not fully potty trained. This policy is designed to prevent accidents in the pool and maintain a clean and sanitary swimming environment. 

    All participants meeting the age and potty-training criteria must wear two layers of protection during swim lessons.

    • The first layer must be a snug-fitting swim diaper designed for water use. 

    • The second layer must be a reusable Happy Nappy diaper provided upon enrollment. The purpose of this second layer is to provide an additional barrier in case of any accidents. Happy Nappy Reusable Diapers are available for purchase.

    • Parents or guardians are responsible for ensuring that the swim diaper and the additional waterproof diaper cover or disposable swim diaper fit their child snugly.

    • Swim instructors and staff are available to assist parents and guardians in checking the proper fit if needed.

    Changing and Check Procedures:

    • Before each swim lesson, parents or guardians are required to check and change their child's double diaper setup.

    • If a child experiences a diaper accident during the lesson, the parent or guardian must promptly remove the child from the pool area to address the situation and clean the child.

    Staff Education and Awareness

    • All swim school staff members are educated about this Double Diaper Policy.

    • Instructors are trained to monitor the participants' diaper status and to promptly notify parents or guardians if a diaper change is necessary.

    Compliance and Enforcement

    • Parents and guardians are expected to comply with this policy for the safety and well-being of all participants.

    • Non-compliance may result in the participant being excluded from the lesson until they are properly double diapered.

  • The safety and well-being of our students is our number one priority. We believe that every child's journey to becoming a confident swimmer should be a secure and supervised one, and we are committed to providing a safe environment with attentive adult supervision. With that being said, there is always risk around water, and when you add little kiddos to the equation, the risk is exponentially higher. It takes a village, and it is impossible for our team to keep their eyes on every person in the building. Therefore, we require your help in ensuring the safety of your child(ren) when in our facility.

    • Parents/guardians must assume all liability for their children and themselves while at Colorado Swim School.

    • Parents/guardians must always remain on the premises and must supervise their children before and after swim class. 

    • We highly encourage parents/guardians to watch their child’s lesson in its entirety and to watch their child as they transition to and from class.

  • Participants with any contagious illnesses or infections are not permitted to attend swim lessons until they have fully recovered and are no longer a risk to others. This policy applies to all participants, parents, guardians, and staff members at Colorado Swim School

    Absence Notification:

    • Parents and caregivers are responsible for informing Colorado Swim School if their child is sick or showing symptoms of illness and will be unable to attend their scheduled lesson.

    • Notifications should be made prior to the scheduled swim class and must be reported through one of the designated communication channels, including phone, in-person, or through our Customer Portal.

    Symptoms Requiring an Absence from Swim Class:

    • Parents and caregivers should not bring their swimmers to the swim school if their child exhibits any of the following symptoms:

    • Fever (temperature of 100°F/37.8°C or higher)

    • Severe cough or respiratory symptoms

    • Vomiting or diarrhea 

    • Contagious diseases (e.g., strep throat, chickenpox, hand-foot-and-mouth disease)

    • Unexplained rashes

    • Pink eye (conjunctivitis)

    • COVID or Flu

    • Any other contagious conditions

    Temporary Exclusion:

    • Children displaying any of the above symptoms will not be allowed to attend their scheduled swim classes until they have been symptom-free for at least 24 hours.

    • In the case of a contagious disease, the child may return to the swim school with a once they are no longer contagious.

    Staff Health and Safety:

    • Staff members who display symptoms of illness will not be allowed to work until they are symptom-free.

    • Colorado Swim School will make every effort to provide a substitute instructor in the event an instructor is out. 

    Make-Up Classes:

    For children who miss classes due to illness, Colorado Swim School will offer make-up classes based on availability.

    No refunds or credits will be issued for missed classes due to illness.

    Privacy and Confidentiality:

    All information regarding a child's illness will be kept confidential and shared only with staff members who have a need to know for the child's safety and the well-being of others.

    Review and Updates:

    This Sick Kids Policy will be reviewed regularly to ensure its effectiveness and to reflect the most current health and safety guidelines.

    Colorado Swim School is committed to providing a safe and healthy environment for all our participants. We appreciate the cooperation of parents, caregivers, and staff in adhering to this Sick Kids Policy, which is essential for the well-being of all individuals involved with our swim school. By following these guidelines, we can collectively maintain a safe and enjoyable experience for everyone.

  • Colorado Swim School is committed to providing a safe and inclusive environment for all individuals participating in our swim programs. We recognize that some participants may have unique medical or adaptive needs that require special attention and accommodations. To ensure the safety and well-being of all participants, we require the disclosure of any relevant medical and adaptive needs prior to enrollment or participation in our swim programs to ensure that everyone can enjoy the benefits of our swim programs to the fullest extent possible.

    Parents/guardians of participants, or adult participants themselves, are responsible for disclosing any relevant medical or adaptive needs during the enrollment process or immediately upon identifying such needs.

    • All disclosed medical and adaptive information will be treated with the utmost confidentiality. It will only be shared with authorized staff members directly involved in the participant's swim program.

    • Upon disclosure of medical and adaptive needs, Colorado Swim School will work closely with the participant or their guardian to assess the specific needs and develop an individualized plan. We will make every effort to provide reasonable accommodations, to ensure that participants with medical and adaptive needs can safely and effectively participate in our swim program.

    • The participant's progress and the effectiveness of accommodations and support will be reviewed upon request, and we will maintain open communication with participants’ guardians to address any concerns or make necessary adjustments.

    • We will not discriminate against any participant based on their medical or adaptive needs. All individuals will be treated with respect and provided with equal opportunities to enjoy our swim programs.

    • We welcome feedback from participants and their guardians to continuously improve our programs and the support we provide to individuals with medical and adaptive needs.

  • The safety and well-being of our students, families, and staff are our top priority. To maintain a secure and nurturing environment, we strictly prohibit the following in our facility:

    Firearms: The possession, use, or storage of firearms and other weapons on our premises is strictly prohibited. This policy applies to all individuals including staff, students, parent, guardians, caregivers, and visitors.

    Alcohol, drugs, and controlled Substances: the use, possession, or distribution of alcohol, drugs, and controlled substances is strictly prohibited on our premises and during any of our activities.

    This policy applies to all individuals present on Colorado Swim School’s premises, including but not limited to:

    1. Students of all ages.

    2. Parents, guardians, and caregivers.

    3. Staff members.

    4. Visitors, including guests and contractors.

    Any individual found to be in violation of this policy may be subject to disciplinary action, which may include, but is not limited to:

    Immediate Removal: Individuals found to be using or in possession of prohibited substances on the premises will be asked to leave the premises immediately.

    Contacting Authorities: In the case of illegal substances, law enforcement authorities may be notified, and legal action may be pursued.

    Suspension or Termination: Students, staff members, or contractors may face suspension or termination, depending on the severity of the violation and any prior offenses.

  • At Colorado Swim School, we are committed to providing a safe and inclusive environment for all individuals who wish to learn and enjoy swimming. We believe in the principles of diversity and inclusivity and are dedicated to upholding the rights and dignity of every individual without regard to race, color, religion, gender, sexual orientation, gender identity, national origin, age, disability, or any other protected status. Our commitment to treating everyone with respect, dignity, and fairness applies to all aspects of our swim school, including but not limited to students, parents, guardians, caregivers, and visitors.

  • Tuition: To ensure your child's placement in our swim program, tuition fees are due upon enrollment. 

    Sessions: If enrolling in a session, tuition is due in full upon registration.

    Recurring Weekly Lessons: If enrolling in recurring weekly lessons, tuition is due in full for the month. If starting mid-month, tuition will be prorated.

    Drop-Ins: If enrolling in Drop-Ins, payment is due in full upon enrollment. Please refer to our policy on Drop-In lessons for more detailed information regarding Drop-In lessons.

    Billing Cycle for Weekly Lessons:

    Colorado Swim School operates on a monthly billing cycle. Tuition is billed on the 23rd of each month for the upcoming month of swim lessons. For example, October tuition will be billed on September 23rd. 

    Payment Methods:

    We accept payments through various methods, including credit/debit cards, checks, or cash. Payment details and options will be provided upon registration.

    Auto-Pay:

    To ensure a hassle-free experience, we encourage all customers to enroll in our auto-pay option. By enrolling in autopay, your monthly fees will be automatically deducted from your chosen payment method on the 23rd of each month. 

    Manual Payment Option:

    If you opt not to enroll in the auto-payment system, you are required to submit a manual payment by the 23rd of each month. Should tuition not be received by this date, a $20 late fee will be imposed. Failure to pay tuition by the 28th of the month will result in removal from the class.

    Late Payments:

    If payment is not received by the 26th of the month, a late fee of $20 will be applied. Repeated late payments may result in the suspension of swim lesson services until the account is brought up to date.

    Refunds and Credits:

    Refunds will not be provided. Credits will be reviewed by our Site Director on a case-by-case basis. Please contact our Site Director at 303-439-7946 with any questions.

    Changes to Billing Information:

    It is your responsibility to promptly inform Colorado Swim School of any changes to your billing information, such as a new credit card. Failure to do so may result in billing issues and a late fee. You may change your billing information by phone, stopping by the Customer Experience Desk, or in the Customer Portal.
